This Privacy Policy explains how Let's Meet collects, uses, and protects personal data when you use the service. We comply with the EU General Data Protection Regulation (GDPR) and the Belgian Data Protection Act.

Let's Meet is a service operated by SISIBO SComm (BCE 0713.935.737), trading as Let's Be Geek (LBG), with registered office at Avenue de la Rosee 12, 1640 Sint-Genesius-Rode, Belgium.

1. Data we collect

We collect data you provide directly and data generated as you use the service:

  • Account data: name, email address, password hash, profile, time zone, language.
  • Billing data: plan, invoice history, last four digits of payment cards (full card data is held by Stripe).
  • Usage data: bookings created, event types, calendar metadata, IP address, device and browser information, log entries.
  • Support data: messages you send to us and attachments you choose to share.

2. Purposes and legal basis

We process personal data to deliver the service (performance of contract), to bill you (legal obligation for invoicing), to secure the platform and prevent fraud (legitimate interest), and to send service announcements. Marketing communications are sent only with your prior consent and you can withdraw consent at any time.

3. Retention

Account data is kept for the duration of your subscription and for up to 90 days after deletion to allow recovery. Invoices are kept for 7 years to satisfy Belgian accounting law. Booking and analytics data older than 24 months is anonymised.

4. Sub-processors and international transfers

We rely on the following sub-processors, all of which are bound by data processing agreements. Where a sub-processor operates outside the EEA, transfers are covered by EU Standard Contractual Clauses.

  • Supabase (EU): authentication and database hosting.
  • Stripe (IE/US): payments and billing.
  • Resend (EU): transactional email delivery.
  • Hetzner (DE): application hosting.

Calendar synchronization (Google, Microsoft)

If you connect your Google or Microsoft Outlook calendar, Let's Meet accesses it only after your explicit consent, solely to manage your appointments: reading your events to prevent double-booking, and creating or updating the events that correspond to your bookings. Access tokens are stored encrypted and you can revoke access at any time from Integrations or from your Google/Microsoft account. Let's Meet's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements: this data is never sold, never used for advertising or to train AI models, and is not shared with anyone except to provide the service.

5. Your rights

Under the GDPR you have the following rights, exercisable free of charge by emailing hello@letsbegeek.com:

  • Right of access to your personal data.
  • Right to rectify inaccurate data.
  • Right to erasure (right to be forgotten), subject to legal retention.
  • Right to portability of data you provided.
  • Right to object to processing based on legitimate interest, and to lodge a complaint with the Belgian Data Protection Authority (Autorite de protection des donnees, www.autoriteprotectiondonnees.be).

6. Cookies

We use strictly necessary cookies for authentication and session management. No third-party advertising cookies are set. Analytics, if enabled, uses cookieless aggregation.
