Taking appointments
What you sell decides everything else: the times on offer, the number of places, the payment asked for and the messages sent. Three shapes cover almost every trade.
- One-to-one appointment
- One time, one person. You set the duration, the time you need before and after, the minimum notice to book and the maximum number of appointments a day.
- Group class
- Sessions that come back every week, with a number of places per session. The places left show at booking, and two people cannot take the last one at the same moment.
- Dated event
- One date, a number of places, and a short link to share or to print. For a workshop, an open day or a one-off session.
- Your own questions
- Add to the form the questions you need before the session: history, size of the animal, level, allergy. Required or not, and different per service.
- Booking for several people
- One person takes several places on the same session in one go, and the places are counted properly.
- Two services back to backfrom Studio
- A colour then a cut, an assessment then a treatment: the second service follows automatically after the gap you set, even if it is with someone else. Only the times where the sequence genuinely works are offered.
- Add-ons
- Extras offered at payment time, added on top of the price of the service.
- Booking on a client's behalffrom Business
- Someone rings up? You book them from your own screen, and they get exactly the same confirmation as if they had booked themselves.
- The time is held while they type
- The chosen time is held for eight minutes, long enough to fill the form and pay. Nobody has it taken from under them.
Your availability
A time is only offered if it is genuinely free. Four layers stack up: your hours, your exceptions, your blocks, and whatever is already in your calendars.
- Your weekly hours
- Your slots per day, grouped into sets you name. A service follows the account's set, or its own.
- Several sets of hoursfrom Pro
- One set at the practice, another for home visits, another on Saturdays. You choose which applies to each service.
- Days off and exceptions
- A day open outside your usual pattern, or closed when it should be open. Plus one-off blocks for a break, something unexpected, a week away.
- Google Calendar and Outlook
- What is already in your calendar blocks the matching times, and every new booking is written into it. The sync runs every fifteen minutes, and a watchdog warns if the data stops moving.
- Your schedule on your phone
- A private link to paste into Apple Calendar, Google Calendar or Outlook to follow your appointments read-only, without opening Let's Meet.
- Several places
- On site, by video, by phone or at an address you give. The chosen place shows in the confirmation and in the calendar invitation.
- Everyone sees their own time
- A client abroad sees the times in their own time zone, you in yours, and every message carries the right time on both sides.
Your booking page
One address in your name gathering your services, and a page per service. Everything is set without touching a line of code.

- Photo, introduction, contact details and links. This is the address you put in your Instagram bio and on your business cards.

- Clean, paper, dark, midnight, botanical, bauhaus, sunset, forest, mono. You switch whenever you like, without losing a booking.

- Colours, fonts and corner radii, with the preview alongside. You can even upload your brand's own typeface.

- A text of your own per service, shown on screen and repeated in the email: where to park, what to bring, which bell to ring.

- One specific service, with its calendar and its form, dropped into a page of your site.
- Your whole schedule
- All your upcoming sessions in a single view, or only the kind of service you choose.
- Your gift cards and your reviews
- The gift card shop and the review wall also show directly on your site.

- React, Vue and Svelte libraries plus a native web component, and your own stylesheet applied to the embedded window.
Messages to your clients
WhatsApp first, SMS if the person has no WhatsApp, email always. That is the default on every account, and you write the texts.
- The confirmation
- Sent to the client and to you, with the file to add to their calendar, the place, their answers to your questions, and the links to move or cancel.
- The reminders
- As many reminders as you like, each with its own lead time, channels and text. The evening before, two hours before, or both.
- WhatsApp, with SMS fallback
- The WhatsApp templates are approved by Meta in three languages. If WhatsApp does not get through, the message goes out as SMS with nothing to do on your side.
- Your texts, your tone
- Every email can be rewritten, with a preview and a test send before you put it live. Your logo and your signature are on it.
- A clear counter
- An email costs 1 credit, a WhatsApp 5, an SMS 30. A Pro plan has 375 credits a month: 375 emails, or 75 WhatsApps, or a mix. You are warned well before the end, and you can top up.
- What went out, and whether it arrived
- Every outgoing message is logged with its channel and delivery status. A message that fails is retried automatically.
Getting paid
Stripe or SumUp, your choice, with no commission taken by Let's Meet. The money goes straight to your account, and the payment methods offered are the ones you enabled with your provider.
- Online paymentfrom Pro
- Card, Bancontact, iDEAL, Klarna, EPS, Apple Pay and Google Pay through Stripe. Or your SumUp page if you already have their terminal.
- The deposit
- A fixed amount or a percentage taken at booking, the rest settled on site. It is the simplest way to make people turn up.
- A card hold for missed appointments
- The card is authorised without being charged. It is only taken if the person does not turn up, or cancels too late.
- Paying on site
- The booking is taken without collecting anything, and the client pays at the appointment as before. Nothing forces you into online payment.
- Gift cards
- Sold from your page, free amount or ready-made options, code sent by email with a PDF voucher. The amount is deducted on its own at booking, and a partial use leaves the rest on the card.
- Discount codes and loyaltyfrom Pro
- A percentage, an amount or free of charge, with an expiry date and a number of uses. Plus a discount that triggers on its own after a number of attended appointments.
- Refunding
- A refund is triggered from your own screen, and an unused card hold is released the same way.
Catching the places that free up
This is what an ordinary diary does not do. A cancellation the day before leaves a hole in your day, and that hole costs money. Let's Meet re-offers it on its own.
- The waiting list
- When a session is full, the person joins the list for that exact slot. They can also ask to be told as soon as any place frees up, without aiming at a date.
- The automatic call-roundfrom Studio
- As soon as a place frees up within three weeks, the people waiting are told by WhatsApp and by email. The first to answer takes it, and their appointment is created.
- Nobody gets a stale offerfrom Studio
- Messages go out in groups of ten, one a minute, with a fifteen minute pause between groups. Before each send the place is checked: if it has already gone, the message is not sent.
- Bookings left hanging
- A booking started but never paid for is followed up automatically, rather than holding a place for nothing.
Your clients
One record per person, filled in on its own as appointments go by. You have nothing to file.
- The client record
- Contact details, appointment history, last service, your notes and your tags. It all comes back at the next booking.
- Bringing your current file overfrom Studio
- Your clients and your appointment history import from your previous tool, with a report saying what went through and what did not.
- Your clients find their own appointmentsfrom Studio
- The person signs in with their number and a code by SMS, sees their upcoming and past appointments, and can move or cancel on their own.
- Reviews
- The request goes out automatically after the appointment. You choose what shows on your page, and you can bring in reviews from elsewhere.
- No-shows
- An appointment marked as missed stays in that person's history, and can trigger the card hold being taken.
Running your business
Your diary, your figures, and working as a team when you are no longer on your own.
